Job Summary

Provide Jail Administration and Law Enforcement with a wide variety of skilled administrative support by managing various posts and providing customer service to the public. Support the functioning of the Jail by ensuring safety and security measures are followed with professionalism, confidentiality and sound impromptu decision making. Provide the first line of contact for the jail and perform a wide variety of duties in which multiple areas of the facility are managed.

Essential Duties and Responsibilities

 

The following duties are normal for this position.  These duties are not to be construed as exclusive or all-inclusive.   Other duties may be required and assigned.

 

Monitoring video visits and the public visitation area. Duties include but are not limited to:

  • Provide information to the public.
  • Troubleshoot problems with the visitation system.
  • ID visitors.
  • Document all necessary visitation information.
  • Monitor visits to ensure the rules of visitation are followed and consult directly with jail staff as needed.
  • Documents and confirms warrants. Notifies law enforcement when appropriate.

Manage the jail lobby. Duties include but are not limited to:

  • Checking in and clearing professional visitors, vendors, and volunteers who will be entering the secure jail.
  • Provide information to the public.
  • Update and scan information into the jail management system.
  • Perform a variety of update functions regarding inmate record keeping via research and reports.
  • Filing.
  • Work with jail staff to receipt and process forms to satisfy warrants and bail.

Manage the jail administration lobby. Duties include but are not limited to:

  • Provide information and fingerprinting services to the public.
  • Run daily reports and provide them to the necessary recipients.
  • Scanning and filing.
  • Miscellaneous projects, research, and data entry.

All lobby areas require that office assistants accept, submit and reconcile cash drawer. This includes balancing the cash drawer report, receipts, and the money at the end of each shift in each lobby.

Inventory/supply management and ordering under the direction of the Jail Administration Office Supervisor.

Complete staff time sheets and work schedules into TimeClock Software.

Perform variety of clerical functions common to the office assistant position, such as develop forms, type correspondence, copy documents, fax documents, and perform backup functions for other positions within the county.

Perform research on jail related issues, as directed by jail administration.

Type, develop, and maintain forms, reports, documents, and post orders as needed and directed by jail administration.

Develop and maintain a file system for all jail related paperwork under the direction of the Jail Administration Office Supervisor.

Mail sorting and delivery within the department.

Perform other duties as directed.

Develop and maintain respectful and cooperative working relationships.

Regular and reliable attendance according to the department’s work schedule.

Knowledge, Skills and Abilities Required

Thorough knowledge of standard office practices, procedures and techniques.

Thorough knowledge of business English, spelling, grammar, punctuation and sentence structure.

Thorough knowledge of and proficiency in MS Office products or comparable office programs, word processing, spreadsheet and some database knowledge.

Thorough knowledge of standard office equipment, including telephones, fax machines, keyboards, copiers, printers, scanners, shredders and department/division specific equipment.

Thorough knowledge of department requirements, policies, procedures, rules, laws, etc.

Thorough knowledge of department specific programs.

General knowledge of unique or specialized terminology specific to department/division operations.

General knowledge of basic bookkeeping or accounting.

Ability to establish and maintain effective, professional, positive and respectful working relationships and communications internally, with other County Departments/Divisions, clients/customers, outside agencies and the general public.

Ability to recognize, assess and address difficult situations. conflicts or problems in an effective and timely manner.

Ability to analyze, research and interpret complex documents, information, policies and procedures.

Ability to prepare and comprehend complex documents, correspondence, information and reports.

Ability to analyze and resolve problems.

Minimum Qualifications

 

An individual must meet the minimum qualifications as stated below to qualify for this position.

High School Diploma or GED AND
One year of post-secondary education and two years of experience providing       administrative support in customer service, government office, or similar office environment; OR
Four years of experience providing administrative support in customer service, government office, or similar office environment.
Work in related government agency is preferred.

Require proficient experience in clerical skills and office procedures, computer experience with MS Office Suite, and the ability to visually monitor equipment.

Must have strong organizational skills and possess the ability to exercise good judgement with minimal supervision.
