Job Summary
To provide administrative and confidential clerical assistance to the Community Corrections Department. To prepare and disseminate accurate information to designated Community Corrections Officers to assist them in their supervision and case management of clients. To act as court liaison in receiving, interpreting, and processing court orders as they pertain to clients.
Essential Duties and Responsibilities
Customer Service
Cooperate with the public, co-workers and/or other departments and agencies.
Maintains a professional attitude and appearance, while utilizing proper and professional verbal and written communication skills.
Alerts staff and/or management to any unusual circumstances that would be helpful or may be a safety concern.
Utilize de-escalation tactics when handling phone calls and/or individuals reporting to the department.
Able to multitask; operate multi-line telephone system, while also providing customer service to individuals at the department counter.
Consistently willing to assist co-workers, the public, as well as other departments.
Accuracy and completeness in reporting messages and/or relaying pertinent information.
Mechanics, Data Entry, Administrative
Creates, maintains, and closes client files within a timely manner with minimal errors.
Routinely assists in the maintenance, audits, and clean-up of departmental data in CSTS.
Distributes mail and faxes per departmental standards.
Follows all established data entry policy and procedures.
Communicates missing information or data errors to the appropriate person.
Schedule departmental appointments and maintains Outlook Calendar per policy and communicates schedule changes promptly to appropriate party.
Adheres to MN Data Privacy Act as well as departmental policies regarding data practice.
Accurately enters fees, applies payments into CSTS, and provides correct accounts to the auditor/treasurer for receipting.
Accurately adds/removes claims from Revenue Recapture per policy.
Electronically files Court documentation in a timely manner.
Assists with departmental reports as needed.
Personal Growth and Professional Development
Attends core and mandatory trainings. Attends relevant, approved training and provides overview/highlights at unit or department meetings.
Works assigned hours per policy and is available when designated window/phone/absence coverage.
Willingness to volunteer for additional tasks when not directed and/or requested to fulfill department needs.
Attends individual, unit and staff meetings and actively participates in discussions.
Completes two annual goals established by employee and supervisor.
Shares responsibility with supervisor in identifying performance strengths, areas for improvement, and opportunities for self-development.
Develop and maintain respectful and cooperative working relationships.
Regular and reliable attendance according to the department’s work schedule.
Minimum Qualifications
An individual must meet the minimum qualifications as stated below to qualify for this position.
High School Diploma or GED; AND
One year of post-secondary education; AND
Two years of relevant work experience providing administrative support in customer service, government office or similar office environment; OR an equivalent combination of education and experience.
Work experience within the legal or court system, knowledge of CSTS and experience with electronic document management systems is preferred.
Supplemental Information
Physical Requirements and Work Environment
Must be able to exert light physical effort in sedentary to light work. May involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (up to 50 pounds).
Work is normally performed in an office environment, which involves viewing a computer screen and operating a keyboard for prolonged periods of time.
